Guidelines for remote guests on digital broadcasts.

Indications and suggestions at no cost, aimed at optimizing the image and internet connection before the event.

A conference call on Zoom or a work meeting on Microsoft Teams are something very different from a remote broadcast, during which a staff of professionals and a director propose a real digital event of high technical complexity, which involves many figures professional even in the days before the actual broadcast.

The attitude of those who participate remotely must therefore also be consistent with the context; it is expected that the image quality, the fluidity of the connection, the clothing, the framing and the sound are taken care of accordingly. Here are some guidelines for making your participation in a digital broadcast accurate in every aspect.

The space

  1. The background of the image is important and will be noticed by everyone; choose carefully what you want to be seen behind you.
  2. Position yourself so that you do not get in the way of people who are in the same space as you.
  3. If there is a door behind you, close it; don’t make us see things we shouldn’t see.

Framing

  1. Check that your laptop screen forms a 90° angle with the surface on which it is placed.
  2. Instead, place books or magazines under the computer but do not tilt the screen to adjust the image.
  3. Moving closer or further away from the table on which the computer rests helps to improve the framing.
  4. Your position and relationship to the frame should match that of the figure below.

Lighting

  1. The face and figure should receive light from the front, at an angle of 45°.
  2. Use a lampshade or table lamp.
  3. If you have a very strong light source behind you, turn it off; if a window, close the curtains.
  4. A window in front of you or at a 45° angle can be an excellent alternative to any artificial light.
    If you cannot follow steps 1 and 2 from where you are, find a better location.

Dressing code

  1. Use if you dress in a solid color of the colors you prefer and in any combination you desire.
  2. Instead, avoid striped fabrics (both horizontal and vertical) which will give unpleasant effects on video.

Sound

  1. Always use earphones only to monitor the audio during the connection.
  2. If you don’t have headphones or earphones, keep your computer’s volume at 30% volume to avoid annoying echoes.
  3. Try to create a silent environment by making appropriate arrangements in this regard.

Internet connection

  1. Use your laptop or desktop computer and make sure it is connected to power.
  2. Ideally it would be to connect your computer to your home/office modem. via LAN network cable.
  3. If you use the wi-fi network, follow the points below to optimize your connection.
  4. Disconnect any other devices from the network and ask the people with you to do the same.
  5. Is there anyone watching a movie on Netflix? Ask him to do it at the end of the broadcast.
  6. If you wish to monitor the live broadcast, do so from your mobile phone or tablet with the device’s 4G connection.

Microsoft Teams

  1. Download the Microsoft Teams desktop application for your operating system.
  2. Create a profile in the application by entering your data.
  3. Wait for the invitation from the digital event organizer and always choose “desktop application”

  1. Click on the link sent to you by email from the event production
  2. If from a mobile phone, select “front camera”
  3. Enter your name and surname and press enter.
  4. Check that your microphone and camera are turned on and working.
  5. If you are asked to give consent to the use of the webcam and microphone, do so,
    otherwise we will not be able to connect you to the control room
  6. Once connected, someone from the control room will welcome you and assist you for the entire duration of the event.
